Scope: Website and Customer Instances

Each instance operator determines how user data is used and must comply with its controller duties. When TrackeraX supplies hosting or support on the operator’s behalf, it processes that data under applicable instructions and agreements. TrackeraX determines the relevant purposes for its own commercial contacts, billing, security and license administration. Roles depend on actual activities; this policy does not remove either party’s obligations.

Information We Collect

We collect information that you provide to us directly, as well as information that is collected automatically when you use our services:

• Contact and account details, organization, requests and support communications.
• Billing, payment and contract status information; financial processing depends on the channel used.
• Browsing and security information and license activation data, such as domain, IP, version and installation status.
• Instance data processed for authorized hosting, support or integrations, which may include devices, GPS positions and files depending on the service.

How We Use Your Information

We use the collected information to provide, maintain, and improve our services, process payments, communicate with you, and comply with legal obligations.

Legal Basis and Processing Purpose

Data is processed to address requests, perform services, bill, provide support, verify licenses, prevent abuse and meet legal duties. Prior authorization will be requested for specified purposes where required; generic acceptance of use does not replace it. Operators must establish the legal basis for tracking and data entrusted for processing.

Third Parties and Integrations

Hosting, payment, email, messaging, map, analytics and AI providers may be used depending on the enabled service, with access limited to the relevant purposes and applicable protection duties. Not all integrations are used on every instance. Information about providers and processing applicable to your service may be requested at admin@trackerax.com.

Content Uploaded by Users

Files uploaded by users to an instance (images, videos, documents, logos, icons and others) are stored on that instance's infrastructure and are the sole responsibility of the uploader. TrackeraX does not pre-screen or monitor that content. Removal requests for rights infringement are handled under the notice-and-takedown (DMCA) clause of the Terms of Use.

Artificial Intelligence Features

When you use the platform's AI features (assistant/chat, summaries, suggestions or analysis), the text and data you submit to that feature may be processed by third-party AI model providers under their own policies and under confidentiality obligations. TrackeraX does not use that data to train its own models. Avoid entering sensitive data, credentials or third-party information you are not authorized to share. Each instance operator may enable or disable these features and choose the AI provider it uses.

International Transfers and Minors

Providers may process data in other countries. Transfers and transmissions will follow applicable legal requirements and safeguards; using the site does not by itself constitute blanket authorization for transfers. The commercial site targets adults. Instance operators must assess and comply with special rules if they process children’s data.

Retention and Deletion

Account and operational data is retained while necessary for services and requests; commercial and accounting data is retained for applicable statutory periods. Security and license records are limited to their purpose. Instance data and backups follow contracted retention and recovery cycles, subject to justified legal holds. Erasure requests will be answered with the deletable categories, exceptions and treatment of backups. Data will not be retained indefinitely for merely possible future use.

Security

Access controls, permissions, credential protection and technical and organizational measures apply according to the service. Support access must be necessary and authorized. No system removes all risk; incidents are handled and communicated under applicable obligations. Code protection and license validation do not replace personal data protection.

Cookies and Similar Technologies

Necessary cookies support site operation. Google Analytics 4 and Meta Pixel are enabled for analytics and advertising only after acceptance. You can reopen preferences using the cookie button and withdraw permission; declining after acceptance reloads the page to stop tags on subsequent visits. Withdrawal does not alter processing lawfully performed beforehand. Integrations and external resources also have their own applicable terms.

Your Rights

You may request access, updates, correction, proof of authorization, information about use, withdrawal or erasure where applicable, and exercise the other rights recognized by law. Contact admin@trackerax.com with your request and the minimum information needed to verify your identity; do not send passwords. For instance data, contact its operator; TrackeraX will assist when acting on its behalf. In Colombia, inquiries are answered within up to ten business days, extendable by up to five additional days with notice, and complaints within up to fifteen, extendable by up to eight additional days with notice, under Law 1581. The rights to approach the competent authority are preserved.

• Know and access the processed data and its purposes.
• Update and correct inaccurate data.
• Request withdrawal or erasure where no legal or contractual obligation prevents it.
• Exercise other rights and remedies under applicable law.

Changes to this Policy

This policy carries an update date. Material changes to purposes or conditions will be communicated where appropriate, and new authorizations obtained if legally required. Publication does not validate past processing or restrict acquired rights.
